Introduction
This Privacy Policy describes how [Legal entity name — configure before production] (“OneFileKit,” “we,” “us,” or “our”) handles information in connection with the OneFileKit website and online file tools (the “Services”).
By using the Services, you acknowledge this Privacy Policy. If you do not agree, please do not use the Services.
Use of the Services is also subject to our Terms of Service.
Information We Collect
Depending on how you use the Services, we may process the following categories of information:
- Information you provide — for example, your name, email address, subject, and message when you submit the contact form, or other details you choose to send us.
- Uploaded files and related job metadata — files you upload to a tool (such as a PDF), plus technical job identifiers, status, timestamps, and output filenames needed to process and return your request.
- Usage and technical data — such as IP address, browser type, device/OS signals, referring URL, pages viewed, approximate timestamps, and diagnostic logs that help us operate and secure the Services.
- Cookies and similar technologies — see Cookies and Tracking below.
Uploaded file content
File contents are processed to fulfill your requested operation. Do not upload highly sensitive documents unless your deployment policies and your own risk assessment allow it.
How We Use Your Information
We use information for purposes such as:
- Providing, maintaining, and improving the Services.
- Processing uploaded files and delivering downloadable results for the tool you requested.
- Responding to inquiries and providing support.
- Monitoring reliability, preventing abuse, enforcing rate limits, and securing the Services.
- Understanding aggregate usage patterns to improve product quality (where analytics are enabled).
- Complying with legal obligations and responding to lawful requests.
We do not sell your personal information. If our practices change, we will update this Policy before relying on a new use that requires notice under applicable law.
Third-Party Services
We may rely on third-party providers to host infrastructure, send email, process files, deliver content, or (if enabled) provide analytics or advertising.
- File processing runs on our application and worker infrastructure; uploads are stored in private storage paths that are not served as public static files.
- Other processors: [Other processors / subprocessors — configure before production]
- Analytics vendors: none configured in the current product settings.
- Advertising vendors: none configured in the current product settings.
Third parties process data under their own terms and privacy policies when you interact with their services. We encourage you to review those documents.
Data Security
We implement technical and organizational measures appropriate to the nature of the Services, such as private storage for uploaded files, access controls for downloads, input validation, and rate limiting to reduce abuse.
No method of transmission or storage is completely secure. We do not claim certifications or absolute security guarantees. You should avoid uploading highly sensitive materials unless you have assessed the residual risk for your use case.
Data Retention
We retain information only as long as needed for the purposes described in this Policy, including operating the Services, security, and legal compliance — unless a longer period is required or permitted by law.
Uploaded files (tool processing)
For tools that process uploads (such as PDF to Word), uploaded inputs and generated outputs are scheduled for automatic deletion after a configurable cleanup window. The current public configuration defaults to 60 minute(s) (override with NEXT_PUBLIC_TOOL_CLEANUP_MINUTES / matching server cleanup settings). Cleanup depends on the worker/process completing the scheduled deletion; if a process restarts, residual files may remain until a sweep or subsequent cleanup runs. Download your results promptly.
Contact-form submissions and operational logs may be retained longer as needed to respond to requests, troubleshoot issues, prevent abuse, or meet legal obligations. Exact retention schedules for those records should be finalized with counsel and operations before production.
Your Rights
Depending on where you live, you may have rights regarding personal information we hold about you. Those rights can include requests to:
- Access personal information we process about you.
- Correct inaccurate personal information.
- Delete personal information, subject to legal or operational exceptions.
- Object to or restrict certain processing, where applicable.
- Receive a portable copy of certain information, where applicable.
This section is informational and does not assert that any specific privacy law (for example GDPR, CCPA, or others) applies to you or to OneFileKit. Applicable rights and response timelines depend on the law that applies to your situation.
To make a privacy-related request, contact us using the details in Contact Us or through our Contact page. We may need to verify your request before acting on it.
Children’s Privacy
The Services are not directed to children under [Age threshold — configure before production]. We do not knowingly collect personal information from children under that age.
If you believe a child has provided personal information to us, please contact us so we can take appropriate steps, which may include deleting the information where required.
International Transfers
Information may be processed or stored in countries other than the one where you live. Current configured summary: [Processing / storage regions — configure before production].
Where required by applicable law, finalize appropriate transfer mechanisms and disclosures with counsel before production. This draft does not claim that any specific transfer framework applies.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last Updated” date at the top of this page and may provide additional notice where appropriate or required.
Continued use of the Services after an update becomes effective means you acknowledge the revised Policy, to the extent permitted by applicable law.
